Google Workspace Migration for Malaysian SMEs

Twenty staff on Business Starter cost RM 7,569 a year before you hire anyone. We move the mailboxes to your own domain on our mail servers, keep every old address reachable, and bring that bill down to four figures — or less.

  • History moved, aliases kept
  • Old addresses keep receiving
  • 3–7 days, weekend cutover

Four signs your mail subscription has become the biggest line on the IT bill.

  • The Workspace renewal is now bigger than your hosting, domains and accounting software together.
  • You added staff and the bill jumped a full seat each, with no discount and no negotiation.
  • Several mailboxes belong to people who left, and you are still paying for them every year.
  • You want out, but every quotation and tax invoice since 2019 lives inside that account.

What the migration actually moves

  • Every mailbox with its history, labels and contacts, moved over IMAP and Google Takeout exports.
  • Every alias, group address and shared mailbox recreated, so no client gets a bounced reply.
  • Calendars exported as ICS and contacts as vCard; staff keep their Google login for Drive and Docs.
  • SPF, DKIM and DMARC built for the new mail server, with the old Google records cleaned out.
  • Phones and desktop clients configured, signatures and auto-replies carried across, tested one by one.
  • A cutover report: what moved, what was skipped, and the rollback window before you cancel Google.

What we need: Google super-admin access (over your screen is fine), the mailbox list with real names, and one person who can confirm on cutover night that nothing is missing.

The renewal you are paying now

Google published rates in ringgit, 8% SST included, per year. The right column covers that many mailboxes.

Audit, move in parallel, cut over

  1. Audit and a written number

We count mailboxes, storage and DNS records, then send the yearly saving in writing before you commit anything.

  2. Move in parallel

Mailboxes are created and history copied while Google keeps running; nothing changes for your staff yet.

  3. Cut over and sign off

MX switches at the hour you choose; we test send and receive both ways, then you cancel Google.

Check the rates and the servers yourself

Google publishes the seat price we quote. sifumail.com runs on the mail platform you would move to — look up its MX, SPF, DKIM and DMARC first, then ask for the saving table on your own mailbox count.

Migration questions, answered plainly

Not if we do it in order. History moves mailbox by mailbox and every alias is recreated before MX changes; Google stays live until your team confirms a week of normal mail on the new side, and only then do you cancel.

Drive and Docs stay in Google — we do not migrate file storage, and saying otherwise would sink the project. Calendars export as ICS and contacts as vCard; staff keep the Google login for files only.

Yes, as an optional split-domain setup: one domain, two mail backends, directors keep their seat. We only quote it after testing your routing and alias rules in the audit — it is not something we promise blind.

We keep the Google account and its MX values for a rollback window, so worst case is pointing MX back and losing nothing but one evening. That is why the switch happens on a Friday night, not a Tuesday morning.

Send the renewal, get the yearly number

Photograph your Google invoice or paste the seat count. You get the yearly saving, the migration fee and a cutover date in writing — before any MX record moves.
